About the Role
TeamFicient is looking for a detail-oriented, highly organized Construction Project Coordinator / Assistant to support a growing construction company based in Texas. In this role, you will act as the primary operational support for the Project Manager, ensuring seamless day-to-day project administration, meticulous file organization, and timely follow-ups across submittals, budgets, and closeouts. Core Responsibilities
Project Administration & Onboarding
- Assist the Project Manager with daily administrative workflows, meeting preparation, and schedule tracking.
- Set up and onboard new construction projects across internal systems, maintaining organized digital job files in JobTread and Google Workspace.
- Track outstanding deliverables and proactively follow up with general contractors, vendors, sub-contractors, and internal teams to prevent delays.
Documentation & Field Correspondence
- Assist with the drafting, distribution, and tracking of Requests for Information (RFIs), material submittals, and formal project correspondence.
- Help manage change order documentation, log changes, and maintain accurate cost tracking throughout the project lifecycle.
- Compile, verify, and organize comprehensive project closeout documentation (warranties, O&M manuals, final punch lists).
Financial & Budgeting Support
- Pull job cost data and extract project financials to help prepare for budget review meetings.
- Ensure all project documentation aligns with budget logs and vendor billing agreements.
Candidate Qualifications
Must-Haves
- 2+ years of administrative or operational experience in project coordination, executive support, or project administration.
- Prior experience working in the construction industry (strongly preferred supporting commercial construction projects or General Contractors/Subcontractors).
- Demonstrated knowledge of construction workflows: RFIs, submittals, change orders, and job closeouts.
- Proficiency with Google Workspace (Docs, Sheets, Drive) and construction management software (experience with JobTread, Procore, or similar platforms is a major plus).
- Exceptional organizational, written, and verbal communication skills with a strong ability to work independently.
Good to Haves
- Direct experience supporting a Construction Project Manager in commercial building projects.
- Familiarity with job costing, AIA billing, or construction budgeting processes.
- Proven track record of managing high-volume follow-ups across multi-stakeholder teams.
